About the team
The Office of the Vice-Chancellor comprises a small professional team that support the Vice-Chancellor and Senior Deputy Vice-Chancellor in their leadership and management of the University to realise the University’s mission. The Office comprises the Vice-Chancellor, Senior Deputy Vice-Chancellor, Chief of Staff, and a small team of professional and policy staff.

About the opportunity
As an Executive Assistant within the Vice-Chancellery, you will provide exceptional executive and administrative support under minimal direction. You will be instrumental in managing diary arrangements, office systems, policies, and procedures, ensuring seamless operations. Your expertise will drive the implementation of new office policies and procedures, contributing to a dynamic and fast-paced team.

Key Responsibilities:

  • Deliver high-level support to the Vice-Chancellery, including meticulous diary management and email assistance.
  • Plan, implement, and coordinate various administrative functions, ensuring a consistent system for issue and resolution tracking.
  • Establish, document, and maintain policies, procedures, and office systems to optimise efficiency.
  • Respond to diverse and complex enquiries, providing innovative solutions to problems.
  • Organise and manage travel bookings with precision.
  • Obtain research materials and ensure timely action, assisting with special projects and the preparation of briefing papers.
  • Liaise with staff and external organisations on sensitive matters, maintaining an awareness of higher education sector issues.

About you
To be considered for this opportunity, you will demonstrate relevant tertiary qualifications or equivalent, with extensive senior-level administrative experience in a university environment or similar large organisation.
